Job Responsibilities:

  • Answers telephones, direct calls, and take messages.
  • Communicates with customers, employees, and other individuals to answer questions, or explain information, and address complaints.
  • Operates office machines, such as photocopiers and scanners, voice mail systems, and personal computers.
  • Processes company payroll by submitting pay information to the payroll service provider.
  • Reviews and maintains all employee payroll information and reporting.
  • Maintains all employee personnel files and ensures compliance.
  • Manages and maintains company accounting software including entering in all relevant company expenditures.
  • Manages and balances company bank accounts and maintains funds to ensure balances can cover outgoing expenses.
  • Maintains accurate record keeping of company financial documents, billing statements and invoices.
  • Performs all other duties as assigned.

Qualifications:

  • High School Diploma (or GED, or equivalent)
  • Minimum 2 years of bookkeeping and payroll administration experience required
  • Proven experience as a back-office assistant, office assistant, virtual assistant or in another relevant administrative role
  • General knowledge of computer systems
  • Working knowledge of office equipment
  • Thorough understanding of office management procedures
  • Excellent organizational and time management skills
  • Analytical abilities and aptitude in problem-solving
  • Excellent written and verbal communication skills
  • Proficiency in MS Office
